Privacy Policy

This Privacy Policy explains how Backstage Labs LLC ("SubLoop," "we," "us") collects, uses, and shares information when you use the SubLoop application and website (subloopapp.com) (the "Service"). SubLoop is a staff-facing tool used by fitness and wellness studios and their teams.
1. Information We Collect
Information you provide:
- Account details: name, email address, phone number (optional), and role/qualifications set by your studio
- Content you create: messages, posts, comments, photos, flyers, RSVPs, and sub requests/claims
- Waitlist and contact form submissions on our website
Information from your studio's scheduling platform:
- When a studio connects SubLoop to its scheduling platform (such as Mindbody), we receive schedule-related data for that studio: class schedules, class names and times, and staff/instructor assignments. We access only what's needed to operate the Service, and only for studios that authorize the connection.
Information collected automatically:
- Device and usage data: device type, app version, log data, and approximate usage patterns (which features are used, when notifications are delivered)
- Push notification tokens, so we can send the alerts you've chosen to receive
What we don't collect: we do not collect studio clients'/members' personal profiles, payment card data, or health information. SubLoop is for staff, not consumers.
2. How We Use Information
We use information to:
- Operate the Service: deliver sub-request alerts to qualified staff, sync substitutions to the studio's scheduling platform, display feeds/calendars/chat
- Honor your notification preferences (availability, quiet hours, per-format alerts)
- Maintain, secure, and improve the Service, and provide support
- Communicate with you about the Service (service emails, early-access updates you signed up for)
- Comply with law and enforce our Terms
We do not sell your personal information, and we do not use your content for advertising.
3. How Information Is Shared
- Within your studio's workspace: your name, role, qualifications, schedule-related activity, and content you post are visible to your studio and teammates as the Service is designed to work.
- Scheduling platform: substitution changes (e.g., which instructor covers a class) are written to the studio's connected platform at the studio's direction.
- Service providers: we use trusted vendors to run SubLoop — such as cloud hosting and database services, and push-notification delivery — who process data only on our instructions.
- Legal: we may disclose information if required by law or to protect the rights, safety, or security of users or the Service.
- Business transfers: if Backstage Labs LLC is involved in a merger, acquisition, or asset sale, information may transfer with appropriate protections.
4. Data Retention
We keep information while your account or your studio's workspace is active and as needed to operate the Service. When a studio workspace is deleted, or you ask us to delete your account, we delete or de-identify associated personal information within a reasonable period, except where retention is required by law or for legitimate business records.
5. Security
We use industry-standard safeguards, including encryption in transit, access controls, and server-side storage of platform credentials. No system is perfectly secure; please use a strong, unique password and keep your device secured.
6. Your Choices and Rights
- Notifications: control push alerts in the app's notification settings (availability, quiet hours, per-format).
- Access, correction, deletion: email us at ashleeatteasestudio@gmail.com to request a copy of, correction to, or deletion of your personal information. If your data is managed through your studio's workspace, we may route the request through the studio as our customer.
- Colorado and other state privacy rights: depending on where you live (including under the Colorado Privacy Act), you may have rights to access, correct, delete, or obtain a copy of your personal data, and to opt out of certain processing. We honor verified requests sent to the email above, and we do not sell personal data or process it for targeted advertising.
- Marketing emails: you can unsubscribe at any time via the link in the email.
7. Children
The Service is for adults (18+) working at or operating studios. We do not knowingly collect information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
8. Changes to This Policy
We may update this Policy as the Service evolves. If we make material changes, we will notify users (e.g., by email or in-app) before the changes take effect. The "Effective date" above always reflects the current version.
